What do you do with your emails?

I have thousands of the blasted things in my in-boxes.

Not so  much of a problem if you use a web-based email account such as Googlemail, Yahoo, Hotmail or one of sundry others but if you have specific email accounts then the storage is on your system not some other server and when you reach the preset limit (which is pretty high) they start to delete the oldest.

What do VPers do with their emails?
Read, reply and delete
Read and leave in their system for future reference
Read, reply, print copies and file them ..... then delete

These seem to me to be the only available options and obviously the first is the sensible one but I was brought up in an age when one filed everything and I dread deleting anything that I may need at some time in the future. My main in-box is sub-divided into various files to enable me to keep track but even so I can never find anything more than a month or two old.

I used to use Outlook and make regular backups of them...

So backup the PST file then delete everything from the in and outbox beyond a reasonable date...

But now I've moved everything to Yahoo mail...

My biggest problem is that most of the stuff that comes in for publication in the magazine comes to my personal in-box and I fear being unable to find it should anyone, at some time in the future, try to sue me. I need to keep the copy to cover my own arse by passing the buck to the original contributor. Changing the email address would be a major problem in that no matter how many times you tell people that your email has changed they still use the one they have stored in their address book.

I use G Mail. Anything sent to my other addresses is automatically forwarded. ANd my inbox presently contains over 11000 e mails  redface: redface:

I am on similar numbers.
I use Thunderbird but have yet to find how to forward, automatically, anything that comes to it.
The method would be most gratefully received.

10,000 or so going back 6 years on the current system. All filed by Client / Social / Activity / Whatever and running from most recent to earliest. The whole lot only amount to 70Mb or so ... plenty of capacity.

Like you, I need to keep the EVIDENCE   ;)
